My guest is Lauren Stumpf, Media Communications and Client Services Specialist with Rancho Mesa. Today, we’re going to talk about documenting employee training history in the SafetyOne™ application and why it’s important. Lauren, welcome to the show.

Lauren Stumpf: Hi Alyssa, thanks for having me in the studio.

AB: Of course. So, our clients have been using the SafetyOne™ app for a few months, and they’ve taken advantage of our built-in learning management system for both assigning online trainings to their employees and documenting any in-person or third-party trainings that their employees have completed. So, why is it important for employers to document employee training?

LS: That’s a great question. So, whether it’s a forklift certification, OSHA 10, sexual harassment prevention or CPR and first aid, when an employee completes a safety training, it’s the employer’s responsibility to keep the records. Keeping accurate training records ensures employers can manage their training programs, effectively. They’ll know who has completed the training and when, and who still needs to complete the training. You don’t want an employee to accidentally miss a training and end up getting hurt. Plus, if OSHA shows up, they may ask to see your training records, and if there is an insurance claim, the carrier may want to see records showing the employee was properly trained.

AB: What information should employers be tracking?

LS: Employers will need to track the employee’s name, the training topic, and the date the training was completed. If there is a certificate of completion provided, you’ll want to keep that, too.

AB: How can our clients track trainings that are completed outside of the SafetyOne™ app?

LS: So, while online trainings completed through the SafetyOne™ app are automatically tracked, our clients can also document trainings that happen in-person or even through a third party website. The administrator can add a training record for the employee once they’ve completed the in-person or third-party training. For example, if the employee completed a CPR and first aid course and the instructor provided a certificate of completion, the administrator will add the record to the SafetyOne™ platform, and upload a copy of the certificate of completion. As soon as the record is added, the training history for that employee is updated and is accessible through the employee’s individual QR Code. 

AB: Can the administrator add multiple training records at once?

LS: Yes, they can. So for example, if the employer assigned all their employees to complete the State of California Sexual Harassment Prevention online course. After the training, the administrator could upload a spreadsheet of all the attendees’ training information into the SafetyOne™ platform. All the records would be added at once. Then, they can upload the certificate of completion for the individual employees.

AB: This is sounds pretty easy from a management perspective. How have employers access the data once it’s been recorded?

LS: The administrator can login to the SafetyOne™ website to access the learning management system. From the Training screen they can view all the training that has been recorded in the platform, including both online courses and in-person training. They can also search by a specific employee, training topic, date completed, date expiring, the trainer, or their trade. So, finding the training records is really simple and fast.
