Brenda Colby: You’re listening to Rancho Mesa’s StudioOne™ podcast, where each week we break down complex insurance and safety topics to help your business thrive. I’m your host, Brenda Colby, and I’m joined by Chad Winder, Client Technology Coordinator with Rancho Mesa, and today’s podcast is going to be a refresher for our SafetyOne™ administrators, to help them get the most out of the platform.
Chad, welcome to the show.
Chad Winder: Happy to be here Brenda.
BC: We’re happy you’re here. So, our SafetyOne™ platform has a lot of different features that can be helpful for administrators trying to make safety a priority, no matter what industry they’re in. Today, we’ll talk about each function and give some examples of how it can be used.
Chad, will you start us off by talking about the Company News function?
CW: Absolutely. The Company News feature is a great way to communicate with your entire organization or with groups of people working on a specific project. Administrators can share jobsite information, required forms, procedural reminders or toolbox talk topics via a text or email, or a push notification for SafetyOne™ app users, sending notifications straight to the users’ mobile device.
BC: Right, it’s a great way to streamline communication within your organization. Next, we have the File Cabinet function. This is where SafetyOne™ admins can store important documents like certificates of insurance, employee handbooks and safety data sheets so that they can be accessed on the go from the Mobile App.
Next, we’ll move on to mobile forms. Chad will you tell our listeners about the Mobile Forms function?
CW: Sure, so mobile form templates can be used in a variety of ways to collect data from jobsites and in the workplace. Templates can be used to document reports like accident investigations, daily inspections, client visits, and visitor logs. And you can do more than just document data. SafetyOne™ administrators can also analyze the data collected from mobile forms to help identify trends that may require additional training.
BC: Yeah, this is a great way to use data effectively towards building a better safety program, rather than just collecting and storing information. So let’s move on to another feature available to SafetyOne™ Mobile App Users, Observations. These are a great way to assess and identify potential hazards in the workplace, and provide feedback and corrective actions to mitigate risks.nThese reports allow the mobile app user to document issues using written and photographic data.
And existing open issues can be assigned to app users or non-app users, such as people outside of your organization. Once a corrective action has been added, the information can be reviewed by the originator of the report to approve. All notes, photos and solutions can be tracked and stored within SafetyOne™.
So our final two functions are Policies and Toolbox Talks. So let’s start with policies, what can you share with us about how this function can improve safety practices?
CW: Clear and accessible policies are a necessity to implementing a successful safety program. SafetyOne™ ensures your mobile app users have access to your organization’s policies for workplace safety and best practices, that includes anything from fall protection to drug and alcohol testing. And as for Toolbox Talks, this is a great way to prepare your employees for potential safety risks before they ever occur. Hundreds of templates are available for use in both English and Spanish, and industry-specific topics are also available for landscape, tree care, and company drivers.
BC: Yeah and for anyone listening who already has a SafetyOne™ account with administrator privileges, we will be hosting a hands-on workshop to help you master the use of the platform on Friday, August 28th at 9.30 a.m. right here in the office. And at that time, we'll go into depth on a variety of functions and uses including: Risk observations, Mobile forms, Policy organization, Trainings and Toolbox Talks, and Analytics. So this workshop is really geared towards any safety managers that have an account but have not yet integrated it fully into your operations, to help you better utilize the safety features. We’ll have a link to register in the episode notes.
So Chad, if listeners have questions about using SafetyOne™ to improve their organization’s safety practices, how can they get in contact with you?
