Welcome back, everyone. My guest is Lauren Stumpf, Media Communications and Client Services Specialist with Rancho Mesa. Today, we’re going to talk about job descriptions and how they can easily be generated and managed. Lauren, welcome to the show.

Lauren Stumpf:  Thanks for having me, Alyssa. It’s great to be back.

AB: With the current employee shortage many organizations are experiencing, creating or updating accurate job descriptions for open positions is becoming a common task for those responsible for managing the human resources within their organizations. And, it’s not only important for those job listings that are posted on various websites, but it’s also important for legal reasons and to identify the specific skills and physical requirements of the job.

Lauren, what’s the best way for our clients to develop an accurate job description if they don’t currently have one or it’s outdated?

LS: Well, our clients can utilize the Job Description Builder in the RM365 HRAdvantage™ portal.  The Job Description Builder guides you through a step-by-step process for building meaningful job descriptions using a pre-built library. Just enter a job title and the tool provides you with standard language from the federal O*NET database.

AB: What if the job description isn’t exactly what I’m looking for?

LS: That’s okay. The job descriptions are fully customizable. Often, with smaller organizations, employees might take on job responsibilities that could be spread across multiple people at larger organizations.  In those instances, you could pull up the job descriptions for multiple titles and combine them into one custom job description to perfectly fit your organization.

AB: What kind of information is included in the Job Description Builder?

LS: Each job description will include your company information, job detail, location, job summary, education and experience, knowledge, skills, work context, job duties, activities, tools and technology. And, of course, if something doesn’t apply to your business, just modify or delete it.

AB: Can the job descriptions be saved in the HR portal?

LS: Yeah, so, when you create your custom job descriptions, you’ll be able to save them in the HR portal.  So, let’s say you’ve created a job description for your journeymen.  You can also have a separate job description for your apprentice and any other employee. 

If you need to update the job description because you’ve incorporated new software or equipment, just login to the portal and edit the appropriate job descriptions. Save the changes in the platform so you always have the latest version, and print a copy or download a PDF or Word document, if you’d like.

AB:  I could see this being useful when there is an unexpected job vacancy and having the job description available at any moment with the date that is was last updated, could take some of the stress off. And, it’s really important for employees to understand the physical demands a job requires. So, if it is clearly laid out in the job description, there’s no question about what is expected.
